Payment Terms
To confirm your booking, you must pay 25% of the invoice amount in advance.
The remaining balance must be paid 3 days before the departure date of the tour.
Cancellation Policy
If you need to cancel or amend your booking (for any reason such as illness, accident, non-payment, or personal reasons), cancellation charges will apply as the company pays vendors in advance to secure your services.
Up to 15 days before departure → 90% Refund
15–7 days before departure → 70% Refund
Within 7 days of departure → No Refund
Special Notes:
If the tour is canceled due to unforeseen events (natural calamities, political unrest, lockdown, global health concerns, riots, government restrictions, etc.), you will receive a voucher worth 100% of the amount paid, valid for 1 year, which can be used for any future tour with us.
If cancellation is due to a health issue (such as testing Covid-positive), upon submitting valid documents, a credit note will be issued for the same amount, which can be used for future travel.
Itinerary Policy
The provided itinerary is a sample plan and may be subject to change due to factors beyond our control (e.g., roadworks, floods, landslides).
Any major changes will be communicated in advance where possible, otherwise, updates will be provided during the trip by our Tour Manager/Representative.
Changes may occur to ensure smooth travel and client safety.
Service Responsibility
The Mountain Trekker acts as a travel organizer and does not own/control airlines, hotels, transport providers, or other services.
While we carefully select our partners, we cannot be held responsible for delays, mechanical issues, accidents, injuries, or damages caused by independent contractors.
Terms & Conditions
The contract is valid only after the advance payment is received. Failure to make the full payment within the specified time can result in booking cancellation and forfeiture of deposit.
The Company reserves the right to:
Cancel or modify tours/facilities without notice (refund of deposit will be provided if cancellation is from our side).
Operate group tours only if a minimum of 6 adults participate. If fewer, the tour may be merged, rescheduled, or canceled. Refunds will be provided, but additional losses (like canceled tickets) will not be covered.
Only the company in writing can make changes to the terms.
If any itinerary/service is changed, clients may:
Continue with the amended tour, or
Accept an alternative option (no refund/compensation will be provided).
In disputes, The Mountain Trekker’s decision will be final.
The company is not responsible for injuries, accidents, loss of baggage, delays, or expenses caused by third parties or external factors.
Liability is limited to the amount paid for the tour.
Complaints must be submitted in writing within 7 days of the tour’s end.
Clients are advised to purchase travel insurance independently as it is not included in the tour package.
Prices are dynamic and may vary depending on booking time. Early bookings usually get lower rates. Prices can change due to fluctuations in hotel/transport costs or taxes.
In case of force majeure events (natural disasters, strikes, wars, government restrictions, etc.), extra expenses will be borne by the client.
Meals
Meals are usually served at hotels/restaurants as per itinerary.
En-route meals may be packed or served at local eateries.
Special dietary requests cannot be guaranteed. Missed meals will not be refunded.
Itinerary Adjustments
For convenience, itineraries may be reversed or slightly amended.
Missed sightseeing due to client delays is non-refundable.
Accommodation
Hotels listed are indicative; alternatives of similar standard may be provided.
Star ratings may not exist in some regions; hotels are categorized by price instead.
Extra beds are usually mattresses/rollaway beds.
Special requests (e.g., ground-floor rooms, early check-in) are subject to availability and may incur extra cost.
No refunds for missed sightseeing or changes in hotel view/location.
Transport
Depending on group size, vehicles like Deluxe Coaches, Tempo Travellers, Tata Sumo, Scorpio, etc. will be used.
Drivers follow strict schedules; clients must adhere to timings.
Air-conditioning will not operate in hilly regions.
Clients are responsible for their luggage and personal items.
Risk & Liability
The Mountain Trekker is not responsible for losses or disruptions caused by natural calamities, strikes, accidents, transport issues, or government restrictions.
Additional costs in such cases will be borne by clients.
Important Notes
Prices are subject to change without notice.
Tariffs and taxes may vary, and revised rates will apply.
Hotels in hills usually offer non-AC rooms; AC rooms are available at extra charge.
Amenities such as tea/coffee makers, toiletries, and mini-fridges vary by hotel.
Meals under MAP/AP plans do not include snacks, soups, desserts, or beverages unless specified.
Incidental Charges
The company acts only as an agent and is not responsible for costs arising from traffic delays, strikes, cancellations, or similar situations.
Alternate arrangements will be made where possible, but additional expenses must be covered by the client.
