Cancellation & Refund Policy

Clear parameters regarding advance payments, cancellation rules, itinerary changes, and structural responsibilities.

Payment Terms & Confirmation

  • To confirm your booking, you must pay 25% of the invoice amount in advance as a token deposit.
  • The remaining full balance must be processed strictly 3 days before the departure date of the tour.

Cancellation Matrix

If you need to cancel or amend your booking (for any reason such as illness, accident, non-payment, or personal reasons), structural cancellation charges will apply as the company pays regional vendors and accommodation locks in advance.

Force Majeure Context

If cancelled due to unforeseen natural disasters, political strikes, lockouts, or government actions, a 100% value voucher will be generated, valid for 1 full year.

Medical Emergency

If cancellation occurs due to an acute verified health issue (e.g., Covid-Positive), upon sharing valid certified hospital logs, a full balance credit note will be successfully issued.

Logistics & Field Parameters

Accommodation Terms

Hotels listed on itineraries are strictly indicative; equal alternatives of similar standards will be provided if unavailable. Star categories do not exist uniformly across high-altitude regions, and classification maps entirely via pricing parameters. Extra bed arrangements represent rollaway beds or floor mattresses. Special parameters (early check-ins, ground floors) are subject to room slot availability and can include extra cost boundaries. No refunds for missed sightseeing or changes in hotel view/location.

Vehicle & Transport Logistics

Fleet systems (Deluxe Coaches, Tempo Travellers, Tata Sumo, Scorpio) scale completely based on active batch size requirements. Drivers follow tight route schedules, and timelines must be strictly maintained by the clients. Air-conditioning setups will not operate inside mountainous or hilly road tracks. Clients are responsible for their luggage and personal items.

Meals Framework

Catering runs inside specific dining frames at base hotels or restaurants. En-route items may map as packed meals or local eatery arrays. Specialized diets cannot be guaranteed in extreme altitudes, and unconsumed items carry no refund credits. Meals under MAP/AP plans exclude extra beverages, snacks, soups, or desserts unless specified.

Service Limitations

The Mountain Trekker works strictly as a travel organizer and does not own, run, or directly control underlying airline lines, third-party hotels, or transport agencies. While we filter operators with extreme care, we cannot absorb legal liability for transit delays, mechanical engine structural breakdowns, local route accidents, luggage loss, or damage caused by independent third-party contractors. Liability is strictly limited to the amount paid for the tour.

Route & Itinerary Adjustments

The provided route structure represents a blueprint sample plan and can face updates triggered by events beyond execution control (floods, landslide blockages, major infrastructure works). Updates will be shared beforehand where possible, or deployed live during transit by our representative to ensure traveler survival safety metrics. Sightseeing points missed due to check-in or transit delays from the client side are non-refundable.

Contract Parameters

Deposit Default

Failure to clear balance tabs results in automated forfeiture of advance deposits.

Group Threshold Limit

Group batches run only with a minimum of 6 adults. Below this, tours may be merged, rescheduled, or safely canceled.

Grievance Registry Timeline

Any formal service complaints must be shared in written text formats within 7 days of the tour completion date.

Liability Limits Cap

Total company operational liability cannot cross the net booking value paid for the itinerary.

Insurance Disclaimer

Personal travel and medical insurance is not built-in; explorers are advised to purchase it independently.
